{"id":35,"date":"2009-01-27T23:45:14","date_gmt":"2009-01-27T23:45:14","guid":{"rendered":"http:\/\/www.hr-softwareblog.com\/?p=35"},"modified":"2012-06-05T21:01:50","modified_gmt":"2012-06-05T21:01:50","slug":"systems-implementation","status":"publish","type":"post","link":"https:\/\/www.comparehris.com\/blog\/systems-implementation\/","title":{"rendered":"HRIS Systems Implementation Tips"},"content":{"rendered":"<p>During my fifteen years of selling and implementing\u00a0<a href=\"http:\/\/www.comparehris.com\/\">HRIS software<\/a>\u00a0and\u00a0<a href=\"http:\/\/www.comparehris.com\/HR-Management-Software\/\">HR Management Software<\/a>\u00a0applications, I have been surprised at how much effort HR departments put into selecting the HRMS software or\u00a0<a href=\"http:\/\/www.comparehris.com\/articles\">HRMS Payroll<\/a>\u00a0software application and how little effort they place on ensuring a successful HRIS software implementation. The tips provided here, if followed, should greatly improve your odds of having a successful implementation. If you find this article helpful, you may also want to read our article on\u00a0<a href=\"http:\/\/www.comparehris.com\/HRIS-software-training\/\">HRIS System Software Training Options<\/a>.<\/p>\n<p><strong>Work out the<\/strong><strong>\u00a0<\/strong><a href=\"http:\/\/www.comparehris.com\/about\/faq\/\">HRMS Software<\/a><strong>\u00a0<\/strong><strong>or HRMS payroll Implementation Details before Signing the Contract<\/strong><\/p>\n<p><strong>\u2022\u00a0Verify the Implementer\u2019s Experience<\/strong>\u00a0\u2013 Every implementation expert has to perform their first\u00a0<a href=\"http:\/\/www.comparehris.com\/HR-Information-Systems-Video\/\">HR Information Systems<\/a>\u00a0software implementation; just don\u2019t let it be you. If it were me, I would not be in their first ten installs and maybe even twenty, if the implementation involves payroll. When it comes to implementing HRIS software and especially\u00a0<a href=\"http:\/\/www.comparehris.com\/HR-Management-System-webinars-SIGN-UP\/\">HR Management System<\/a>\u00a0systems, there is absolutely no substitute for experience. Be sure and find out exactly how much experience the individual has that will be overseeing or performing the engagement.<\/p>\n<p>It\u2019s highly likely that you have checked references on the\u00a0<a href=\"http:\/\/www.comparehris.com\/\">HRIS\u00a0<\/a>or\u00a0<a href=\"http:\/\/www.comparehris.com\/about\/faq\/\">HRMS Software<\/a>, but have you also checked references on the individual who will be performing your implementation? Important questions to ask when following up with these references might include the following:<\/p>\n<p>o\u00a0Was\u00a0<a href=\"http:\/\/www.comparehris.com\/HR-Management-Software\/\">HR Management Software<\/a>\u00a0 implementation project completed on time and within budget?<br \/>\no\u00a0Would you use the implementer again?<br \/>\no\u00a0How was the implementer at explaining technical issues?<br \/>\no\u00a0Were you delivered what was promised?<br \/>\no\u00a0How was the HRIS or HRMS software training?<\/p>\n<p>\u2022<strong>\u00a0Is Scope Well Defined<\/strong>\u00a0\u2013 This is one of those cases where assuming can cause you lots of problems. Don\u2019t assume what you expect to have done will be completed in the hours allotted for the engagement. Make sure everything you expect to have completed is included in an implementation schedule.<\/p>\n<p>I recommend requiring the\u00a0HRIS vendor\u00a0performing the\u00a0<a href=\"\/blog\/\">HR software<\/a>\u00a0implementation, provide you a low to high expected range of time for each phase and for each product option of the engagement. If you have a custom report or interface that needs to be created, make sure it is included in the estimated hours.<\/p>\n<p><strong>Once Work Begins<\/strong><\/p>\n<p>\u2022\u00a0<strong>Be Prepared<\/strong>\u00a0\u2013 This seems obvious but, believe me, this is a constant issue for\u00a0<a href=\"http:\/\/www.comparehris.com\/\">HRIS software<\/a>\u00a0and\u00a0<a href=\"http:\/\/www.comparehris.com\/about\/faq\/\">HRMS Software<\/a>\u00a0implementation consultants. We told clients exactly what we needed when we arrive for the first day of the engagement and at least a quarter of the time, the client would not be prepared. The problem became so common that we started requiring clients to email or mail us the information we needed on day one before we would even book travel or schedule the trip.<\/p>\n<p>\u2022<strong>\u00a0Clear the schedules as much as possible<\/strong>\u00a0\u2013 I hated sitting around during an engagement but sometimes this was unavoidable because the people we needed to meet with, such as I.T. or human resources, were not available while we were on-site. Make sure to let your I.T. staff, or any other departments that may be involved, know when they need to clear their schedules.<\/p>\n<p>\u2022\u00a0<strong>Keep Job Focused<\/strong>\u00a0\u2013 This is as much the consultant\u2019s job as it is yours. While on engagements, I frequently had clients ask about additional capabilities or the \u201coh yeas, can we do this too?\u201d. I always handled this situation the same. Let me finish what we have to do and then we can look at available time or extra time, for extra work not included in the original scope. This was not an issue on my projects but one of my consultants had a real challenge with staying focused and was over budget on the majority of his projects.<\/p>\n<p>\u2022\u00a0<strong>Track Hours<\/strong>\u00a0\u2013 If the project is a long one, make sure to track the hours worked by the consultant.
